Refund & Cancellation Policy

1. Overview
This Refund & Cancellation Policy explains how you can cancel your subscription and under what circumstances refunds may be issued for the Commergic AI chatbot and related services (the “Service”).
By creating an account or purchasing a subscription, you agree to this Policy as part of our Terms & Conditions.
 
2. Subscription Billing & Renewals
2.1 All subscriptions are billed in advance on a monthly or annual basis, depending on the plan selected at sign-up.2.2 Subscriptions automatically renew at the end of each billing period unless cancelled before the renewal date.2.3 All prices and billing terms are displayed at the point of purchase and may change on renewal with at least 30 days’ prior notice.
 
3. Free Trials
 
3.1 We may offer a free trial to allow you to evaluate the Service.3.2 At the end of a free trial, your subscription will automatically convert to a paid plan unless you cancel before the trial expires.3.3 No charges are made during the trial period unless you upgrade or add paid features.
 
4. Cancelling Your Subscription
 
4.1 You can cancel your subscription at any time by logging into your Commergic dashboard and selecting Cancel Subscription under billing settings, or by emailing info@commergic.com.4.2 Cancellation will take effect at the end of your current billing period.4.3 Your account and chatbot will remain active until the period expires, after which access will automatically cease.
 
5. Refunds
 
5.1 Because access to the Service and its features are provided immediately upon payment, subscription fees are generally non-refundable.5.2 Refunds may be considered only in the following circumstances:
    • Duplicate or accidental payments made in error;
    • Proven technical fault on our part that prevented use of the Service and which we could not resolve within a reasonable time;
    • As otherwise required under UK law.

5.3 Refunds are not issued for:

    • Change of mind after purchase;
    • Failure to cancel before renewal;
    • Unused time remaining in the billing period following voluntary cancellation.

5.4 Approved refunds will be processed using the original payment method within 10 business days of confirmation.

6. Upgrades and Downgrades

6.1 You may change plan level at any time:
 
  • Upgrades take effect immediately, and any difference in price is charged pro rata for the remaining billing period.
  • Downgrades take effect at the start of your next billing period.

6.2 Downgrading may cause loss of features or data. We recommend exporting any important data beforehand.


7. Termination by Us

We reserve the right to suspend or terminate your access to the Service in accordance with our Terms & Conditions (e.g. for non-payment, breach, or misuse).If we terminate for reasons other than your breach, we may issue a pro rata refund for unused prepaid time.


8. Refunds for Consumers / Sole Traders
If you are a consumer or sole trader purchasing the Service wholly or mainly outside your trade or profession, you may have additional rights under the Consumer Contracts Regulations 2013.
  • You have a 14-day “cooling-off” period from the date of first purchase.
  • However, by accessing the Service immediately after purchase, you acknowledge and agree that your right to cancel under those Regulations ends once full access is granted.


9. Exceptional Circumstances

We may, at our sole discretion, consider a partial or full refund in exceptional cases where fairness or goodwill applies.Such cases are reviewed individually and are not precedent-setting.
